SharePoint Online Document Library Mailing Alert

Previously i did a tutorial on Creating a Document Library on SharePoint.

Prerequisites:

  • SharePoint Site(I will be using SPSeries Site we created on the previous tutorial)
  • Document Library

Today We are going to learn how to…

  • Create Document libraries on SharePoint(We did that already here)
  • Upload and Delete documents on a document library
  • Add An Alert to Our Document Library
  • Assign Users to be alerted and how they should be alerted
  • Upload/Delete a document to our document library to see how the alert system works.

Upload and Delete documents on a document library

You could either drag and drop single/multiple files to your document library

or Browse your computer to upload single/multiple files.

How to…

— Navigate to our document library(Site Contents-> Exam Questions or Recent->Exam Questions, e.t.c)

— Click on upload to browse to your computer and upload or just drag and drop files to upload(.doc, .docx, .txt, )

Just leave that option ticked(Add as a new version to existing files)

Click OK to upload.

Add An Alert to Our Document Library/Assign Users to be alerted and how they should be alerted

— Now let’s add an alert to our document library so we could keep track of any changes made on the library.

How to…

An easy way is to switch to Modern Experience by exiting Classic Experience (Click Exit Classic Experience)

— Click the ellipsis() on the horizontal navigation bar of your document library.

Click on Alert me

— Enter Alert title(This would be the subject of the email sent)

— Enter the name of the user on your AD you want alerts to be sent to(it picks the logged in user name by default, multiple names could be added),

— Choose the Delivery method(i used email for this tutorial)

— Choose a change type(i chose all changes for this tutorial)

— You could also configure how and when to send alerts for the changes.

Click OK when you’re done configuring.

Upload a document to our document library to see how the alert system works.

— Now let’s upload another document to see how the alert is sent.(You could return to classic experience, or stick with modern experience)

Now the mail alert has been sent! on the document just uploaded.

So.. let’s delete any of the document, (say exam script)-using modern experience

— select the document to be deleted(multiple files could be selected), click the ellipsis, then delete.

You also get an alert!
